Case study / RECODemand / Operations

A 55-person company, running on software they own.

We replaced five SaaS subscriptions, from CRM to payroll, with one custom platform built for how RECODemand actually runs. GoHighLevel, Wave, and Slack stayed, wrapped in AI so they do the work of a team.

The client

RECODemand.

RECODemand is a marketing consultancy for real estate and mortgage professionals. Fifty-five people, high-volume sales motion, webinar funnels, and long-running coaching engagements. The business had grown well past what generic SaaS was designed for, but the operation was still stitched together out of it.

The problem

They weren't missing tools. The tools were the problem.

Every gap in the off-the-shelf stack got patched with another subscription. Each new tool added seats, an integration to maintain, and a shape the business had to bend around. The stack kept growing. It never quite fit.

01Problem

Never quite fit

The CRM couldn't be customized to how the business actually sells.

02Problem

Every gap cost more

Each tool that closed a gap added seats and another integration to maintain.

03Problem

Stacked, still wrong

Even bolted together, the tools were never quite right.

The approach / subtraction method

Instead of adding tools, we removed them.

We started by asking what could be cancelled. Then we built the one system that could hold everything the cancelled tools were doing, shaped around RECODemand instead of the other way around.

  • Sales pipeline seats
  • Client portal platform
  • Client + project management seats
  • Reporting and BI tool
  • Payroll platform

At market rates, a stack like this runs a 55-person company $50,000 to $90,000 a year. Every year.

What we built

Eight tools, folded into one.

Five subscriptions cancelled outright. GoHighLevel, Wave, and Slack kept, but wrapped in AI automation so they do the work of a team, not a database and a chat window.

What would you build if software was cheap?
